What does my desktop display space include and where is it located?toptop

Your exhibit investment is affordable because we preclude the fanfare and give you the basic tools you need to create an effective presence at ETC. All exhibitors are provided a turn key display setup:

  • 1 desktop display area with tablecloth
  • 2 chairs
  • Company sign
  • Profile in ETC Conference Directory, if you complete your organizational profile by the stated deadline

The simple design of tabletop displays a white tablecloth, drapery, and uniform signage levels the playing field for all exhibitors - large and small. There is no need to spend huge sums of money shipping large display units in an attempt to compete with others. This minimalist approach allows delegates to invest their funds in what really counts - an opportunity to meet with partners conveniently, display brochures, provide introductions, share information, and facilitate long-term partnerships within the educational travel community.

All desktop displays for US Based Tour Operators are located in a separate section of the Bazaar. All desktop displays for foreign-based tour operators, travel suppliers and destination representatives are featured in the geographic section of the world in which they operate. Regions featured are - Americas, Europe, Africa/Middle East, Asia, Australia and South Pacific, or Global; and Travel-related Services. Refer to the Bazaar Layout for a visual orientation.

All official sponsoring partners are located in the most central part of the bazaar designated the Partners' Boulevard. For Conference Partners, larger exhibit space is awarded as a benefit of Conference sponsorship, according to Partner level. The Partners' Boulevard is the most centrally located display space, and features the option of elaborate booth design for all participating Conference Partners.

What kind of promotional materials should I bring?toptop

Table top displays in the International Bazaar are limited to promotional brochures and portfolios that lie flat on the table. Display materials suggested are any flat items such as brochures, printed handouts and business cards. Less is better as visitors to the International Bazaar do not pick up vast amounts of literature. If you take brochures, it is recommended to limit the numbers to 50 of each type, maximum, and only those that are targeted vs. generalized to this affinity and educational travel market niche. Some seasoned exhibitors at ETC not take no more than 25 per brochure type as it definitely works best to mail information as a follow-up to your meetings with colleagues. Other exhibitors do not take any brochures.

Banners, posters, plants, statues, portable kiosks, large booth type displays and/or audiovisual equipment are prohibited, except for sponsoring partners located on the official  Partners' Boulevard. The Conference Organizer reserves the right to have exhibitors remove all promotional props, easels, backdrop displays, sample foods or giveaways and other such materials if displayed, with the exception of those displayed on the Partners' Boulevard.

Help ETC be a responsible meeting - and avoid boxes of brochures being discarded by the hotel following the conference. It is the responsibility of each exhibitor to ensure that all of their materials are removed in total from the International Bazaar prior to the official closing time. After the official closing time of the International Bazaar materials will be disposed of by the Hotel staff. The Hotel is not held liable or responsible for any remaining exhibitor materials.

How do I enhance my attendance and visibility value if I am a Destination?toptop

Travel Planners and Tour Operators are seeking specialized destination knowledge vs. generalized sightseeing ideas or broad based brochures. Register as your second representative a product development professional, preferably an individual from your home office involved with product development. Make sure this individual offers outstanding knowledge of specialized itineraries, cutting edge venues, specialized local guides, etc., as well as what can be specifically designed in your destination for the educational travel market. Travel Planners are seeking itinerary opportunities vs. sales pitches.
